Reports to: Marketing Senior Vice President and CD Vice President

Join our team as an Executive Assistant and play a pivotal role in supporting the smooth operation of our fast-paced and diverse team.

Key responsibilities:

  • Efficiently managing executive calendars to ensure optimal use of time and resources.

  • Arranging comprehensive travel itineraries, including flights, accommodations, and ground transportation.

  • Take the lead of the travel system platform and provide necessary support to the teams in the departments.

  • Screening and directing phone calls and messages, ensuring timely follow-up and communication.

  • Handling mail with precision, ensuring urgent correspondence is delivered promptly.

  • Coordinating and organizing internal and external meetings per requests, including but not limited to agenda, venues, meeting facilities, catering, necessary secretarial support to meeting participants.

  • Administering expense reporting and managing American Express reports with accuracy.

  • Be responsible for purchase orders for the departments and ensuring timely follow ups.

  • Responding to information requests from internal and external with professionalism and efficiency.

  • Preparing and expediting courier packages, ensuring timely and secure delivery.

  • Supporting other Executive Admin as needed, such as backup other Executive Admins during vacations, and other absences.

The above responsibilities are for Marketing & Customer Development teams, including Sr Leadership and their direct reports in senior director level and a few persons below them.

Requirements:

  • A minimum of 4 years of executive assistant experience, preferably experience in multinational companies.

  • Proficiency in SAP is desirable, with required expertise in Google Calendar, PowerPoint/Google Slides and Excel/Google Sheets.

  • Exceptional communication skills and fluency in English. Knowledge of German is an advantage.

  • The ability to work independently and as part of a team, handling confidential information with discretion.

  • Strong organizational and planning skills are essential.
